HVAC COMPANIES
HVAC Company Management: AMC Renewals, Spares and Technician Load
It is the first week of April, the temperature has climbed, and your phones will not stop. Half the AMC customers are yet to renew, and technicians are being sent to new installs while old customers wait for gas refills.
We help the owner plan the year around that peak: AMC pricing and renewal calendar, technician scheduling, spares stock, installation margins and collections. We do not cover refrigerant handling, load calculations or equipment selection. Your engineers and the manufacturer decide those.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01AMC contracts are renewed by phone calls from whoever remembers, so lapses happen quietly and customers are only noticed when they call during a breakdown.
- 02Summer demand overwhelms the service team, and installation jobs delay breakdown calls, which damages relations with the very customers who pay AMC.
- 03Spare parts such as capacitors and PCBs run out at the peak, and a technician returns to the shop for each missing item.
- 04Installation quotes ignore copper pipe length, drain work and wall cutting, so the final cost overshoots the rate the customer agreed.
- 05Corporate and society accounts pay late, and the owner funds technician wages and spare purchases from his own pocket for months.
OUR FOCUS AREAS
Where the work
usually starts.
- 01AMC register with expiry date, number of units, scope and last service date for every customer
- 02Renewal call routine starting well before expiry, with a log of replies
- 03Peak-season rota that separates install teams from breakdown teams
- 04Fast-moving spares list with reorder level and a van stock check each morning
- 05Installation quote sheet counting pipe length, drain, stand, wiring and civil work
- 06Technician job closure sheet capturing parts used, time taken and customer signature
- 07Receivables ageing for housing societies, offices and builders
- 08Margin per product line, comparing installs, AMC, repairs and spare sales
START THIS WEEK
Things you can do
before you call anyone.
- Open your AMC list and sort by expiry date. Mark every contract that ends within the next two months. Assign each to a named person to call this week.
- Ask each technician to list the five spare parts he most often runs short of. Compare the lists and set a minimum stock for the common ones.
- Hypothetical example: if an AMC covers four units at Rs 1,200 each and a lapsed customer later pays only per visit, the lost yearly revenue is Rs 4,800 before counting goodwill. Track that figure per lapse.
- Review the last five installation quotes against actual pipe length and extra work. Note where you under-quoted and add those items to a checklist.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- An AMC register and a renewal calendar with a named person for each call
- A peak-season roster and escalation rule for breakdown calls
- An installation quote template that itemises pipe, drain and civil work
- A monthly receivables and AMC revenue view for the owner
Not the right fit when: Start elsewhere if the main issue is a safety fault, a refrigerant leak or a compliance matter; those need a qualified engineer or the relevant authority.
