COACHING CENTRES AND TUTORS
Running a Coaching Centre: Batch Fill, Fees and Faculty
It is April and your Class 10 batch has three seats left, but two senior teachers have hinted at leaving after the results. Fee instalments from the last session are still half collected. Everything depends on a handful of people and a register.
We help you treat each batch as a small business with its own fill, fee and faculty cost. We design the fee calendar, the faculty pay structure and the parent follow-up routine, then train your coordinators to run them. We do not teach or set papers.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01A popular teacher brings the students, so the centre is quietly exposed whenever that teacher negotiates pay or considers opening a separate class.
- 02Fee instalments run late with no fixed reminder routine, and the owner ends up asking parents personally, which damages the relationship and wastes the evening.
- 03Batches start with whatever number joined, and nobody has set a minimum below which a batch is merged or closed, so some run at a loss for months.
- 04Walk-in enquiries are noted on loose slips, and a parent who asked about Class 9 maths in June is never called back.
- 05Test results and attendance sit with individual teachers, so you hear about a drifting student only when the parent arrives angry.
OUR FOCUS AREAS
Where the work
usually starts.
- 01Batch-wise seats filled, fee collected and faculty cost, in one monthly table
- 02Minimum batch size below which the centre merges or restarts the batch
- 03Instalment calendar with reminder dates and a named person who sends them
- 04Faculty pay linked to batch results and retention, not only to hours taught
- 05Enquiry register with a callback date against every walk-in
- 06Study material printing cost per student and who approves reprints
- 07Attendance and test-score sheet reviewed by the coordinator every Friday
- 08Succession cover for each subject, so one resignation does not close a batch
START THIS WEEK
Things you can do
before you call anyone.
- Open your fee register and list every student with an overdue instalment, sorted by batch. Hand the list to one person and ask for a weekly update on it.
- Hypothetical example: a batch of 18 students paying ₹3,000 a month brings ₹54,000. If the teacher, rent share and material cost ₹58,000, the batch loses money. Do this sum for each batch.
- Ask each coordinator to write down every enquiry from the last month and the next action against it. Anything without a date gets a callback this week.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- A batch profit sheet showing fill, fees due, fees collected and teacher cost
- A fee instalment calendar with reminder script and escalation steps
- A faculty pay and retention framework you can explain to each teacher
- An enquiry follow-up routine with a weekly review for the coordinator
Not the right fit when: Skip this if the main issue is academic quality or a result dispute with parents, which needs your senior faculty. It also will not help while a faculty exit is already in a legal tangle.
