COLLEGES AND UNIVERSITIES
How College Management Can Run Admissions and Fees Better
The counselling round has closed, forty seats in one programme are still empty, and the management meets next week. Meanwhile arrear fees from the senior years are unpaid and the faculty salary run is due on the first.
We advise management teams on the operating side: seat and fee tracking by programme, faculty cost against fee income, and the review routine between the principal, registrar and accounts. We do not make academic, affiliation or regulatory decisions, which belong to the institution and its regulator.

The pressures
we often see.
- 01Seat vacancy is reported once a year, after the cycle ends, so nobody can decide mid-season whether to push a programme or close a section.
- 02Fee dues are tracked by the accounts office while attendance is tracked by departments, so a defaulter keeps attending and the dues quietly age.
- 03Faculty cost per programme is not worked out, which means low-enrolment courses continue because nobody has seen what they cost.
- 04Department heads run their own small purchases for labs and events, with no common approval limit or monthly summary reaching the principal.
- 05Trust or management meetings are long on opinions and short on numbers, so the same issues return every quarter.
OUR FOCUS AREAS
Where the work
usually starts.
- 01Programme-wise sanctioned seats, admitted students and fee-paying students
- 02Fee demand, collection and arrears by year and by programme
- 03Faculty cost per programme against the fee income it generates
- 04Guest and visiting faculty bills, with who approves and who verifies hours
- 05Department purchase approval limits and monthly spend summary
- 06Hostel and transport receipts reconciled with actual occupancy and routes
- 07A one-page monthly pack for the principal, registrar and trustees
- 08Student drop-out list with the stated reason, reviewed each term
START THIS WEEK
Things you can do
before you call anyone.
- Pull the list of programmes and write seats sanctioned, seats filled and fee per student against each. The gaps show where management attention should go first.
- Hypothetical example: a programme with 60 students paying ₹50,000 a year yields ₹30 lakh. If faculty and lab costs for it add to ₹34 lakh, the programme needs a decision, not a repeat.
- Ask accounts to list students whose fees are overdue this term and share it with the heads of department. Agree who speaks to which family.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- A programme scorecard with seats, fees collected and faculty cost
- A fee arrears review routine between accounts, departments and the principal
- A purchase approval policy with limits for each level of authority
- A monthly management pack that fits on one page and drives the meeting agenda
Not the right fit when: Wait if the institution is facing an affiliation, approval or inspection matter, which needs the regulator and a qualified adviser first. It also does not replace academic governance.
