TOURIST AND BUSINESS VISA SERVICES
Running a Visa Service Desk: Speed, Checklists and Cash
A family of four wants to leave in two weeks and calls with half their documents. Your counter staff say yes to everything, the checklist is on three different sheets, and the application comes back for a missing letter.
We advise on how the service runs. That covers checklists per destination, who answers enquiries and how fast, how fees and embassy charges are separated, how peak travel months are staffed, and how errors are tracked. We do not advise on visa eligibility or promise approvals. The embassy decides.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01Enquiries arrive by phone, message and walk-in, and a traveller who does not get a quick answer goes to the next desk.
- 02Checklists differ by country and applicant type, and staff rely on memory, so incomplete files are discovered late.
- 03Service fees and embassy charges are mixed in the accounts, which makes it hard to see what the desk actually earns.
- 04Peak months before holidays flood the desk, and temporary staff handle files without training.
- 05Refused or delayed applications bring angry calls, and staff have no standard way to explain what the service can and cannot control.
OUR FOCUS AREAS
Where the work
usually starts.
- 01A destination-wise checklist card with documents, photos and fees, updated on a fixed date each month
- 02A first-response routine: who answers, what is asked, and the time by which every enquiry gets a reply
- 03A file status board from documents collected through submission to passport return
- 04A fee sheet separating your service charge from embassy and courier costs
- 05Peak-season staffing plan with training for temporary staff on the three most common destinations
- 06An error log of files returned and why, reviewed monthly
- 07Repeat and corporate traveller handling, including a named contact
- 08A standard written note on what the service does not guarantee
START THIS WEEK
Things you can do
before you call anyone.
- Sit at the counter for one morning and note every question asked and how long each took to answer. Turn the five most common ones into a printed card.
- Hypothetical example: if twenty files come back for the same missing document, add that line to the top of the checklist and make the checker initial it.
- Open your books and separate this month's service fees from pass-through charges. See what the desk earned per file after staff time.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- Destination checklists with a two-person check before submission
- A daily file board showing status, next step and traveller travel date
- A role chart for enquiry desk, document checker, submission and accounts
- A short script for refusals and delays that stays honest and calm
Not the right fit when: We cannot advise on whether an applicant is eligible or on any embassy rule. If your licence or registration is in question, resolve that with the authority or a lawyer first.
