SOFTWARE DEVELOPMENT COMPANIES
Software Company Owners: Fixed Bids, Scope Creep and Bench Cost
The client says the login screen was always meant to include a mobile OTP flow. Your team says it was not in the document. Three developers have been on the project for two weeks beyond plan, and the final milestone invoice is on hold.
With software company owners we look at estimates, scope change control, developer utilisation, bench cost and milestone invoicing. We do not write code, pick technologies or review code quality. Your delivery leads and engineers carry those calls. The formats stay light enough for a team of any size to keep up.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01Estimates come from the person who sells the work, and the team that builds it learns the assumptions only after the contract has been signed.
- 02Change requests arrive in chat messages, are accepted to avoid friction, and are never priced, so the project quietly runs over budget.
- 03Developers finish one project before the next one starts, and the gap between the two sits on the payroll as bench time with no one counting it.
- 04The founder remains the final reviewer for every release, which limits how many projects the firm can run in parallel.
- 05Milestones are tied to dates instead of client acceptance, so a slow client review delays cash while salaries go out on time.
OUR FOCUS AREAS
Where the work
usually starts.
- 01A sizing sheet that lists features, assumptions, risks and the roles needed before a price is set
- 02A change request log with date, effort, price and the client's written approval
- 03Developer allocation across projects for the next six weeks, including bench weeks and leave
- 04Actual hours versus estimate per project, reviewed every fortnight by the delivery lead
- 05Invoicing schedule linked to acceptance, with the client's approver named
- 06Release and code review responsibilities defined by project, not by the founder alone
- 07Pre-sales to delivery handover meeting held before kickoff with the same document used by both
- 08Support and warranty window rules after launch, stating what is a bug and what is a new request
START THIS WEEK
Things you can do
before you call anyone.
- Take your two latest projects and compare estimated against actual developer days. Write the cause of each overrun in one line. Look for a shared reason such as late feedback or added scope.
- Create a one-page change request form with a field for effort and price. Use it on the next change. Hypothetical example: a request taking four developer days at ₹6,000 per day is quoted at ₹24,000.
- List developers with their open weeks over the next two months. Pass the list to whoever is closing proposals, so that sales commitments match available people.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- An estimation template that carries assumptions and exclusions into the contract
- A change control process with an intake form and a pricing rule
- A developer allocation and bench view for the weekly planning meeting
- A project health sheet for each delivery lead showing hours, milestones and open changes
Not the right fit when: Come back later if you face a legal dispute over intellectual property, a failed release in production or a security breach. Those need your engineers and a lawyer first.
