PERSONAL TRAINING STUDIOS
Personal Training Studio: Trainer Pay, Packages and Renewals
A client has paid for thirty sessions with his favourite trainer. The trainer takes a better offer from another studio, and the client asks the owner for a refund because he came for one person, not the studio.
We help the owner build a studio that does not depend on one trainer: package pricing, trainer pay and notice, slot utilisation, renewals and cancellations. We stay out of training programmes, injuries or health conditions. Your trainers decide those, and a qualified professional should be asked about health.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01Clients buy a trainer, not a studio, so a departure takes a stream of recurring revenue with him.
- 02Trainers hold sessions in prime morning and evening slots, and the middle of the day sits empty, with fixed rent running all day.
- 03Packages are sold with no clear expiry or cancellation rule, and unused sessions pile up as a liability on the owner's books.
- 04Pay is a share of every session, so trainers resist handing a client to a colleague, even when a schedule clash occurs.
- 05Renewals depend on the trainer asking the client, and many packages lapse because the conversation never happens.
OUR FOCUS AREAS
Where the work
usually starts.
- 01Package price list with sessions, validity period, freeze rule and cancellation terms
- 02Slot utilisation grid by hour and trainer, with revenue per studio hour
- 03Trainer pay structure combining base, per-session share and retention bonus
- 04Notice period and client handover routine when a trainer leaves
- 05Unused-session liability tracker by client and package
- 06Renewal calendar starting before the final sessions, with calls by the front desk
- 07Client file with goals, attendance and trainer notes held in the studio's own records
- 08Equipment and space costs per hour compared with the rate charged

Things you can do
before you call anyone.
- List each active client with the trainer, package and sessions left. Total the unused sessions and their value. That is money owed in service, and you should know the number.
- Draw a grid of your studio hours and mark which are booked. Calculate your rent per hour and compare with the average fee in the quiet slots.
- Hypothetical example: if one trainer's clients pay Rs 3 lakh a month and half follow him out, the studio loses Rs 1.5 lakh a month.
- Ask each trainer to introduce every client to a second trainer in one session this month. Record the introductions and check attendance afterwards.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- A package and cancellation policy sheet that clients and trainers both see
- A slot utilisation grid and proposal for filling quiet hours
- A trainer pay and handover chart that reduces dependence on one person
- A renewal routine and tracker run by the front desk
Not the right fit when: It is too early for us if the issue is a client injury or a contract dispute with a trainer that needs a medical professional or a lawyer.
