IELTS AND LANGUAGE TEST COACHING INSTITUTES
IELTS Coaching Institute: Batch Cycles, Mock Tests, Fees
A student walks in on a Tuesday and says her test is in five weeks. Your next batch starts after her exam date, and the speaking trainer has a full diary. The front desk quotes a price from a handwritten list.
We help you design rolling batches, trainer rosters and a clear fee and refund structure, and track mock-test cost per student. The advice stays on the business side. We do not teach, mark papers or promise a band score.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01Students arrive with a fixed exam date, but batches start on fixed dates, so every week some enquiries are lost because nothing fits their window.
- 02Speaking practice needs one-to-one trainer time, which is the scarcest resource, and it is booked ad hoc with no cap on how much each student receives.
- 03Mock test papers, marking and printed material are charged inconsistently, and the true cost per student is not clear until an audit of the month.
- 04Students who pass or give up leave without feedback, so the institute never learns which trainer or batch worked and which one did not.
- 05Many trainers work part time elsewhere, and their availability changes with their other jobs, which makes timetables unstable.
OUR FOCUS AREAS
Where the work
usually starts.
- 01Batch calendar with rolling start dates matched to common exam windows
- 02Speaking practice slots per trainer, with a fixed allowance per student
- 03Mock test and marking cost per student per module
- 04Fee card including accelerated, regular and weekend options
- 05Trainer availability sheet confirmed fortnightly
- 06Refund and rescheduling rules written and signed at enrolment
- 07Exit feedback call to every student who finishes or leaves
- 08Enquiry log with the exam date so follow-up is timed to it
START THIS WEEK
Things you can do
before you call anyone.
- Go through the last month's enquiries and note each one's exam date. Count how many could not be placed in a batch and what start date would have fit them.
- Hypothetical example: if a trainer can give 30 speaking slots a week and each of 12 students is allowed three, the roster is full. Anything above that needs a second trainer or a charge.
- Ask the desk to read your refund rules aloud. If the answer changes between staff members, write it down and put it on the enrolment form.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- A rolling batch calendar that matches enquiries to exam windows
- A trainer speaking-slot roster with limits per student
- A fee, refund and rescheduling policy the desk can explain in a minute
- A monthly report of mock cost, batch fill and trainer load
Not the right fit when: Skip this if the key problem is a complaint about promised scores or an issue with the test body. That needs a qualified adviser, not a new routine.
