MBBS ABROAD CONSULTANTS
Running an MBBS Abroad Consultancy: Files, Fees and Follow-up
A family has paid the first instalment, the university is asking for a missing document, and the counsellor who handled the case has gone on leave. The parents call you directly, anxious, and nobody can say exactly where the file stands.
We help you build a file tracker, split counsellor duties and set clear fee milestones with honest written explanations of risk. Our advice covers running the consultancy. We do not give admission, visa, legal or recognition advice, which the relevant authorities and qualified advisers decide.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01Each family file passes through many steps and many people, so a missing document or unanswered email can sit unnoticed until a deadline is close.
- 02Counsellors carry large caseloads and a handover during leave is informal, so families receive different answers from different people.
- 03Fee milestones are agreed verbally with each family, and later disagreements about what was promised become the owner's personal problem.
- 04Families are choosing an expensive, high-stakes option, and trust is lost the moment one question is answered vaguely or too optimistically.
- 05Commission and payment timing from different institutions are tracked in separate sheets, so income is hard to forecast month to month.
OUR FOCUS AREAS
Where the work
usually starts.
- 01File tracker with each document, its status and the next action per family
- 02Counsellor caseload and a handover note format for leave
- 03Written fee milestones and what each payment covers
- 04A fixed list of questions every family must have answered in writing before paying
- 05Parent update routine, with a day each week for status calls
- 06Income expected per institution and per month, with payment dates
- 07Complaint log and how each case was resolved
- 08Referral and enquiry source tracking by counsellor
START THIS WEEK
Things you can do
before you call anyone.
- Open every active file and write the next action, owner and date against it. Any file where the next action is unclear gets reviewed with the counsellor today.
- Hypothetical example: if a counsellor handles 40 active files and receives five calls a day from anxious parents, a weekly written update sent on a fixed day can cut the unplanned calls.
- Draft a one-page note on the risks of the route that you would want to be told yourself. Check it with a qualified adviser before giving it to families.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- A family file tracker with a weekly review for the head counsellor
- A counsellor role chart with caseload limits and handover template
- A fee milestone sheet written in plain language for families
- A monthly income and receivables report by institution
Not the right fit when: Wait if a family is in dispute, or a recognition or visa question is open. Those need the authorities and a qualified legal adviser, not a business routine.
