STUDY ABROAD CONSULTANTS
Study Abroad Consultancy: Intake Cycles, Counsellors and Fees
September intake is two months away, six students are waiting on their SOP drafts, and one counsellor has twice the caseload of the others. A student asks why the service fee is not refundable after the offer, and the answer depends on who picks up.
We help you plan intake-season workload, a student file tracker, and written fee milestones that every counsellor explains the same way. Our advice covers running the firm. We do not advise on visas, admissions or immigration, which qualified advisers and the authorities decide.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01Enquiries bunch up before each intake, and the firm is overloaded for weeks and underused for months, with staff hiring decisions made in a panic.
- 02A student moves through counselling, applications, offer, visa and pre-departure, and no one owns the whole journey, so files stall between steps.
- 03Fee terms are explained differently by different counsellors, and refund disputes land on the owner after the student has already moved on.
- 04Counsellors are measured on enrolments, so they may push the destinations that pay the firm best rather than the ones that suit the student.
- 05Income depends on institution payments that arrive late, so cash is tight just when the next intake needs more staff.
OUR FOCUS AREAS
Where the work
usually starts.
- 01Intake calendar showing enquiry, application, offer and deposit counts per month
- 02Counsellor caseload cap and a handover format for leave and exits
- 03Student file tracker with the next action and date against each case
- 04Fee milestones written once and read out the same way by everyone
- 05Counsellor incentives that include student satisfaction and file quality
- 06Expected institution payments by month and who chases each
- 07Documents checklist per destination, reviewed by a qualified person
- 08Complaint log with outcome and learning

Things you can do
before you call anyone.
- List every active student and write the next action, who owns it and its due date. Files with no clear next step are where you lose students.
- Hypothetical example: if one counsellor holds 60 active files and another holds 30, a simple cap of 40 would move some files and make quality more even. Test a cap that fits your team.
- Read your fee terms aloud to two counsellors separately and note any differences in how they explain them. Fix the wording before the next intake.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- An intake-season workload plan for staff, with a hiring trigger
- A student file tracker and weekly review for the head counsellor
- A fee milestone sheet in plain language for students and parents
- A counsellor role chart and incentive framework
Not the right fit when: Wait if a student dispute, a misrepresentation allegation or a licensing question is open. Those need a qualified lawyer and the authority first.
