VOCATIONAL TRAINING INSTITUTES
Vocational Training Institute: Batch Fill, Trainers and Dues
A walk-in asks about the electrician course, takes a brochure and says he will come back. Two weeks later he has joined an institute down the lane. Your workshop has six seats open and the next batch starts Monday.
We help you run enquiries as a tracked list, plan batches against trainer and workshop cost, and keep dues in order. Our scope is the business side. Curricula, assessments, affiliation and placement claims are outside it.
Discuss your priorities ↗COMMON CHALLENGES
The pressures
we often see.
- 01Walk-ins ask about courses and prices, take a brochure and disappear, because nobody records their details or calls them back within the week.
- 02Hands-on courses need consumables such as wire, fabric, tools and ingredients, and the cost per student is not worked out, so fees are set by guesswork.
- 03Trainers are often skilled tradespeople paid per batch, and their availability shifts with their own work, so batch dates move and students complain.
- 04Short courses end quickly and certificates are issued, but follow-up after the course is irregular, so referrals and repeat courses are left to chance.
- 05Fee instalments are collected at the front desk without a ledger, and dues from past batches are quietly written off.
OUR FOCUS AREAS
Where the work
usually starts.
- 01Enquiry register with name, course, phone and a callback date
- 02Batch start dates planned a quarter ahead with minimum seat numbers
- 03Consumables cost per student for each course, updated each batch
- 04Trainer agreement on batch dates, cover and notice
- 05Workshop and machine utilisation by day and shift
- 06Fee ledger with instalment dates and a dues list reviewed weekly
- 07Certificate and assessment fees accounted for separately
- 08Alumni list with a call after the course, noting what they plan next
START THIS WEEK
Things you can do
before you call anyone.
- Start a notebook or sheet at the front desk with every walk-in's name, number, course and a date to call back. Read it every morning.
- Hypothetical example: a batch of 12 students at ₹6,000 earns ₹72,000. If trainer cost is ₹30,000, consumables ₹24,000 and rent share ₹10,000, only ₹8,000 remains. Check each course this way.
- List dues from the last three batches. Assign each name to a staff member for a polite call this week.
A PRACTICAL ENGAGEMENT
Start with the priorities
that matter most.
We begin by understanding how your business runs today, find the gaps, and agree the scope in writing. Recommendations are shaped around your team, your resources and your goals.
- An enquiry follow-up sheet and weekly callback routine
- A course costing sheet covering trainer, consumables and workshop time
- A batch calendar with minimum seats and trainer cover
- A fee ledger format and a weekly dues review
Not the right fit when: Come back later if students or an authority are disputing an affiliation, certification or placement claim. A qualified adviser should take that first.
