FINANCIAL SERVICES CONSULTING
Business Consulting for Financial Advisors and Agencies
Renewals are due this month, a few clients have not replied, and the documents for a new file are still on someone's phone. The agent is the face of the firm, and everything waits until he is free.
Our brief is the firm itself: one list of clients and due dates, follow-up rules, who handles which type of file and how income is tracked by source. Advice to your clients, product suitability and anything the regulator governs remain with you and qualified professionals, not with us.

COMMON CHALLENGES
What these businesses
have in common.
- 01Client details, renewal dates and pending documents are spread across notebooks, phones and email, so deadlines are known only to the person who wrote them.
- 02Follow-up on a pending file depends on the owner's memory, and a client who goes quiet is rarely called again.
- 03Income comes from commissions, fees or margins that arrive late and unevenly, so the owner cannot say which products or clients pay for the office.
- 04Junior staff cannot handle a client without the owner, so the owner stays on every call and the firm cannot take on more.
- 05Records are kept for regulatory reasons, but the routine for keeping them is informal, and only the owner knows where things are.
START THIS WEEK
Things you can do
before you call anyone.
- Make a single list of every client with the next due date, pending document and person responsible. Review it every Monday and clear the oldest items first.
- Write down who calls whom when a file is pending for more than a set number of days. Name one person for each type of file.
- Hypothetical example: 15 renewals fall due this month and 4 clients have not responded. List the four, assign each to a person, and set a date for the second call.
- Take last month's income and sort it by client or product. Mark the top five sources and the five smallest, and note what each costs you in time.
Not the right fit when: A regulator's notice, a customer complaint or a doubt about what you may offer needs a qualified professional or a lawyer, not a business adviser.
